Private Information Protection Policy

Patent professional corporation HIRAKI & ASSOCIATES (after, “our firm”), given that our main business is in the field of intellectual property rights registration is fully aware of the importance our responsibilities in protecting the private information which we deal with every day, and has therefore implemented the following policy in respect of the appropriate handling and protection of our clients’ private information.

Private information management and protection

Our firm ensures that our clients’ private information is kept and maintained accurately and up to date and in order to prevent the unauthorized access, loss, damage, falsification or leaking of private information, has implemented all required measures including security system maintenance, comprehensive management systems, and staff education (including the obligation to undergo in-house risk management training), as part of our implemented safety strategies that ensures the strictest management of our clients’ private information.

Private information use purpose

In respect of the private information provided by our clients, this is only used to provide the best possible service to our clients and within the minimum scope required for our firm to conduct its business.
Further at the time a potential client makes an application for service, where a different use purpose has been expressed, the private information will only be used in accordance with that purpose.

Prohibition against disclosing or providing private information to a third party

Our firm, unless one (1) of the items stated below applies, shall appropriately manage the private information received from a client, and shall not disclose that private information to any third party.

  • Where consented to by a client.
  • Where to provide the service required by our client, it is disclosed to one of our firm’s commissioned parties.
  • Where disclosure is required under any applicable law, regulation, ordinance, etc.

Private information safety strategies

Our firm to ensure that private information is appropriately and safely managed, stored and kept, has implemented a full range of security measures.

Disclosure of and revisions to private information

Where a client requests that the private information it has provided be referenced, corrected, deleted or similar, our firm upon confirmation with the concerned client will comply with that request.

Ongoing improvements

Our firm, in order to ensure the full implementation of this policy, continues to engage in activities to improve our systems, etc. This private information protection policy is consistently under review to make all improvements as required.

Disposal method for confidential documents

In respect of all documents created by our firm that are required to be disposed of, our firm dependent upon the level of confidentiality, uses the two types of disposal: business use equipment shredding and melting process (certificate for melting completion). From within those documents submitted to any patent office in any country, or court or to other concerned government authorities, such as copies of filing applications, etc., where not already publicly disclosed, when the concerned matter concludes, as regards the internal documents, etc. received from a client, these will be shredded and melted.
